If I could give zero stars I would. I have used them for over 10 years and the only thing that keeps me with them is that all our Client info and documents (past & present) are with them. The communication from them is horrendous. I can’t count the amount of times I have sent a message and there is always zero response. The prices continue to go up and up and the system is SO SLOW! If I wasn’t at the end of my career, I would go somewhere else.
A nightmare
I purchased Clinic Source services over two years ago with the intention of streamlining my psychotherapy practice. The sales presentation was compelling, and we were assured that any system issues could be addressed through necessary modifications. We were also told that this software was specifically designed to support psychotherapy practices. Unfortunately, these statements proved to be inaccurate. From the outset, we experienced numerous difficulties, including billing problems, a lack of integration between different areas of the program, inaccurate reports, incorrect accounts receivable data, and missing diagnostic codes in documentation. Out of necessity, I personally learned how to create and modify documents, despite not being a computer expert, which required a significant amount of time and effort. Due to inaccuracies in basic documents, the program was not functional without these modifications. The system was exceedingly complex and added numerous steps, which compelled us to hire additional staff to manage the practice effectively. When contacting support, we were often directed to the message board, where if enough users submitted similar requests or issues, consideration might be given. I also submitted a detailed letter outlining our experiences and highlighting that much of the program was not well-suited for behavioral health providers. I requested specific improvements to reduce the many extra steps required to operate efficiently. The company responded by acknowledging that their current platform falls short for behavioral health providers and stated that they do not have immediate plans to address these concerns, but would notify us if they made updates. Anyone familiar with the complexities involved in switching EHR systems understands how costly, time-consuming, and stressful this process can be. I strongly advise against using this program if you are a behavioral health provider. It has been a challenging experience and cost us thousands of dollars and considerable time in efforts to make it work. I am pleased to share that we have now found an excellent EHR system at a reasonable price that has greatly streamlined our practice management. When the company itself admits that their EHR is inadequate for behavioral health, it serves as a clear warning.
Not a system for a one person practice.
1. This company markets the software with a one hour demo and no trial. This is not effective to determine efficacy for your practice. 2. As a one person practice, this product is not appropriate. They "gave" me 2 months free, but once in a contract, what difference does that make? I was in a time crunch because my former software company was no longer going to support the platform and I had to make a rapid move. Their technician go on remotely, provided the support and migrated the data. 3. I was turned off from the time I began entering data, it was ridiculously tedious, too demanding visually ( I did not use the billing component). 4 Finally, they end the contract and your agreements without giving you access to the back up data which is given AFTER the contract and the BBA's are over and send you attachments and video to migrate your own data. This was in contrast with other companies that made it their businesses to provide the support and migrate the data BEFORE taking your final payment and ending your contract. If you have an I.T. person who can sit and do this, fine, but if you are an individual practice owner, that time is not available. What would take them 15 minutes remotely to do, I spent hours and still have not accomplished it because of error messages. If you are a small business owner, go to Simple Practice, easier, less expensive and does the job from a documentation and billing perspective. Don't waste your time with this.
The reviews are right
The reviews are right. Run from this EMR system. If you choose it, it will be your demise. I have never hated any company more than this one, covering my hand in paper cuts and dipping my hand in rubbing alcohol would’ve been a far more better experience than clinic source. Go to simple practice or theranotes. If you have ever used American home shield, this is the American home Shield of EMR systems. Customer service is rerouted to a third-party out of country company where they do not have any ability to edit your file and they are not trained. Sometimes you will not be able to bill to insurance companies, and you will only figure that out after signing up! You have been warned! Was never able to collect on secondary insurance. How sad.
THE WORST
This company is absolutely horrific. We used them for our EMR for our small practice for the past 8 years. Every year, the customer service has gotten worse and worse. I can never get a clear answer, the fees increase each year (this year it was close to 9%) I finally cancelled and was still charged for my service after we cancelled. I am now having to fight for money back, as well as my confidential client files. They informed me we would be receiving all client files on the date our subscription was over. Its been 14 days and they recently told me "they cannot provide an ETA on when the files will be sent as it goes in order of request" I now cant submit medical records for our patients as the data is in their system and I am waiting and waiting without any known date. I would not use or recommend this company if it were the last emr on the planet. HORRIBLE.

The ClinicSource sales team will sell you on capabilities the software cannot complete fully. Their patient portal literally allows a clinician to send documents and one line of text. The client can send one message back. That's it. No "messaging" like we were sold on. No client-side credit card entry, even though this is the 3rd most requested feature. The sales engineer flat-out told us it would never happen and had a lame excuse as to why they couldn't do it. Well, many other solutions offer client-side cc entry as a standard. This software is ancient, dating back to 2003, and it looks and performs like it's duct-taped together. The first time our clinician tried to log into the platform, it wouldn't let her. I contacted support and received a very short message back that said "your password is incorrect." In fact, it wasn't and it took a while to convince them it wasn't. They had to send a ticket to development to help solve the problem. Over and over, as we went through their "training"--which is a haphazard mix of videos that appear to be 40% out of date and irrelevant, meetings with a sales engineer who tried to hide all the workarounds you have to use to get anything out of this piece of junk, and a never-ending library of instructions. This is the least intuitive software I have ever used. The support was quick but clueless. On the last demo we had, it was clear that we had made a huge mistake going with these guys--they simply are 5 years behind the times in MH EHR offerings. And guess what, they have you sign a contract without telling you it locks you in for a year, which we were told about through an emailed response to our request to cancel the service--not explicitly, just a two-line email with a copy of the contract. We were sold on promises of automation, although I saw very little of that. Save yourself some time and money (we spent weeks trying to train ourselves on this ridiculously complex piece of junk, only to abandon it when we realized we had been "sold" on features that simply weren't available or were about 1/4 of the way finished. They are a 21 year old company, lazy, happy to scam people the way they scammed us, to keep the money coming in. I'd love to know their retention rate, because the only time I ever saw them move quickly and professionally was when we dropped them and then they jumped into action to let us know we couldn't cancel. Before that, any human contact was worthless, lazy, and full of half-baked truths or out-and-out lies. If you are a mental health clinician, DO NOT WASTE YOUR TIME OR MONEY. There are far better, cheaper, and honest solutions out there. If you don't take my advice, ask for the full training before signing the contract--that's where you'll find out that the sales team pretty much lied to you about a lot of stuff and you'll see that this software is sadly, a piece of junk.
This company has been overcharging me…
This company has been overcharging me for licenses that we do not use for nearly a year. I have been put through the ringer trying to get my refund. All they do is continually pass me off to someone else. I’ve even had a person confirm that we were being overcharged and then when brought back up to her, she denies it. My invoices don’t lie.

Excellent Software for Multidisciplinary Practice
ClinicSource has all of the templates/ reports I need for speech therapy, physical therapy, and occupational therapy. It is really easy to bring on a new therapist because the system is already set up with goals and tests and assessments.
Stay away
Customer service is subpar and always has been. Over the last two years when we tried to access the Patient tab it would spin for up to a minute before allow access. When we brought it to the teams attention they were not able to determine why it was doing that and basically said "oh well, theres nothing we can do". It was difficulty for us to access our patient tab to upload files add authorizations etc. We started storing our documents in our drive instead. We finally decided to leave the company and we requested a copy of our clients notes. We were not allowed to request that until we terminated. So a few days after we terminated I sent in the request. Its been two months since I have made that request and I still don't have our clients notes. Now we have parents and agencies asking for copies of notes and I have no access to them. I'm not sure how they think its ethical to not release our data. I feel like they are holding us hostage and don't really care because we are no longer a paying customer. These are medical notes that we should have access to. I'm not sure what entity I can file a complaint with but there has to be a governing agency. Definitely not ethical and they should be ashamed of their product and policies.

credit card charges
Clinic Source was unclear about the cost to charge a credit card, which was going to add $50/month (plus 3%) to there regular monthly fees. I asked to get out of the contract less than a month in and they refused despite the misinformation.

ClinicSource me to sign a one-year contract. Two days after I signed, my needs suddenly changed - before I implemented their program or accessed any of their resources. I called to cancel but was told that no cancellations are allowed.
I was too busy to deal with it. So, even though I never used their service in any way, I allowed the automatic monthly payments required by their contract to continue for several months.
Finally, I tried to reach ClinicSource. After several attempts, I finally received a phone call. Their representative offered a "buyout" of my contract. I told him to send the paperwork but never received it.
Meanwhile, the auto payments continued. I tried several times to reach them to no avail. So, finally, I told my bank to stop the autopay.
Today, ClinicSource sent an email saying that I owe them for several months of service and threatening me with collection action.
I responded to that email by simply saying, "See you in court." To which they wrote back asking for my attorney's contact info!
What kind of business operates this way? Are any of the positive online reviews real?
Based on my experience with them, I have no doubt that ClinicSource is nothing but a scam.

Excellent program. They have customizable templates built in for each discipline (SLP, PT, OT, and mental health) and our therapists are very happy with how efficient the system is. It also improved our profit margin by 20% since implementing because of a great clearing house. I would recommend it to anyone

Working with ClinicSource has been the worst experience I have ever had working with a company. If I could rate this company "0 stars" I would as I do not think this company deserves even 1 star. This company often sends conflicting invoices with discrepant charges, had disabled my account, yet continued to bill, refuses to send me a contract release acknowledgement, although my contract ends this month, and has horrible customer service. I am not sure who is writing these favorable reviews but take a look at the BBB website as the company has multiple complaints, negative reviews, and reports of continued billing after the contract agreement has ended.
Super disappointed in this service
Super disappointed in this service. Sales team assured me it was an easy set up process with lots of training and would make my job less about paperwork and more about my clients. Unfortunately, I was never able to utilize this due to such a headache of setting it up. After 3 weeks the system was still not usable with comments back from support stating things like "maybe just try to reset your password". I even had a trainer state to me at the two week mark "this isn't even set up for you correctly, it is not usable yet, we can't get all of the training in today, I will email and get them to address this right now". That trainer attempted to help me, it seems he is not responding now? The lack of support and continuing to not be useable forced me to go elsewhere in order to fulfil my needs of documenting for my clients, the next service I tried I was able to have up and running in 1 day with little difficulty. After weeks and several tries to have these issues looked at, I was informed that they "did not do anything wrong although the telehealth was found to be faulty, which weeks later is "now fixed". They are now stating that I am required to pay near $800 as a way of canceling a service that I was never able to get running and was not offered adequate support to clear up bugs. Buyer beware! Do not sign a contract without first seeing and utilizing the product first. The sales team will share with you the ease of the product, which does look amazing at first glance, BUT will not be upfront with the challenges of even getting the product to a place that is usable!
